Event Support: Assist with the smooth running of all President's House events.
- Assist with set up, break down, and clean up after functions.
- Oversee activities of student assistants and other wait staff.
- Provide input and training to hospitality staff based on protocols, policies, and procedures at the President's House.
- Provide coverage at other locations on campus, including West Campus.
- Collaborate with the events team to help prepare for upcoming events, such as place card and name card distribution.
- Maintain flatware, China, and glassware inventories while working with hospitality partners, events, and operations staff as needed.
- Report any missing, damaged, or broken items following events to operations and events staff.
Guest Services: Required to stay overnight and be on-call to assist official university overnight guests, at the President's House.
- Prepare and serve light meals and refreshments for official university guests without input from manager.
- Greet, and serve as primary liaison to guests, providing top-notch customer service.
- Other duties as assigned and additional functions incidental to service activities.
Household Maintenance: In conjunction with the Events and Operations Manager or designee, establish a work schedule for household maintenance, including:
- Ensure that the common areas and guest suites are maintained at the level established by the president or designee.
- Monitor the household items and condition of the house and report any change in conditions or need for repairs to the supervisor.
- Clean and maintain public and common areas of the President's House and event staff's offices.
- Do laundry for public areas, including guest suites, and as requested other washing, drying, and ironing.
- Clean bathrooms, floors, and all fixtures.
- Primary backup for Service Assistant who performs most housekeeping duties.
- Vacuum and wash floors as well as remove trash.
- Clean furniture and dust shelves.
- Polish and clean fixtures, hardware, and silverware.
Administrative: With attention to detail, routinely performs administrative tasks required to support the smooth functioning of the President's House.
- Maintains a calendar of events.
- Organizes own schedule in consultation with supervisor for best coverage of presidential events.
- Coordinates the scheduling of the annual cleaning of carpet, drapery, light fixtures.
- Limited shopping for food, beverages, household supplies, paper goods, and other household items.
- Place orders with suppliers.
- Provides accurate accounting of purchases.
- Processes purchasing card expenses independently.
- With the supervisor's and colleague's input, maintain inventory of food, beverages (including beer, wine, and liquor), and all household cleaning products. Maintains a record of alcoholic beverage consumption after events in conjunction with hospitality staff.
Security: Adhere to President's House security protocols as outlined by the house policies and procedures and supervisor instruction.
- Greet and screen visitors and relay to event staff the visitor(s) name(s) and nature of their business.
- Answer the main line and intercom in the absence of events and operations staff.
- Responsible for opening and closing the property, which requires disarming and securing and arming the residence.
Four years of related work experience, two of them in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate's Degree; or an equivalent combination of experience and education. Customer-service experience, anticipating the needs of others. Basic computer skills.
