Description
Reporting to the Director, the Assistant Director, Residential Housing Operations (ADRHO) is a 12-month, full-time, live-off, master's level professional staff member serving as an integral part of the leadership team for Residential Life & Housing Services (RLHS). The Assistant Director will have direct oversight for department technology and the residential housing operations, home to a diverse residential population of more than 1,700 students within more than four properties.
The Assistant Director's primary responsibilities can be further defined within the areas of supervision, housing operations, and department and University responsibilities. The Assistant Director may perform other departmental and University duties in the Director's absence.
SUPERVISION
- Direct supervision of at least one full-time professional staff, including the Coordinator of Housing Operations (CHO).
HOUSING OPERATIONS
- Configure and maintain individual functions within, and integrations between, StarRez and Workday.
- Plan and oversee Move In and Move Out, including coordination of staff/student volunteers and external vendors.
- Maintain Housing Application for more than 600 returning students and 1000 new and transfer students each year.
- Oversee and guide the CHO in creating the RLHS social media presence, focusing on housing processes.
- Plan and execute the Housing Selection process for returning students eligible for guaranteed housing; the Housing Waitlist for returning students not eligible for guaranteed housing; and the Housing Placement process for new and transfer students.
- Oversee and guide the CHO in managing the semesterly Room Change Process.
- Oversee and assist the CHO in managing Early Arrival and Break Housing processes.
- Liaise with Student Accounts to maintain accurate billing records for housing, meal, and damage charges.
- Review the Housing License Agreement language and convene campus partners to recommend updates.
- Create and facilitate housing operations and technology training for RLHS and campus partners.
- Report occupancy numbers, room and meal revenue, and housing rosters to campus partners.
- Assist with housing placements for Living Learning Communities (LLC).
- Organize and chair the Food & Housing Petition committee.
DEPARTMENT & UNIVERSITY RESPONSIBILITIES
- Work closely with Conferences & Events on the coordination of short- and long-term summer housing guests, including interns, small groups, and large partnerships.
- Collaborate with the RLHS leadership team to develop and execute policy and decision making for the daily and long-term operation of RLHS, aligning with departmental, divisional, and University visions and goals.
- Serve on the 24 hours a day, 365 days a year Administrator on Call (AOC) rotation, providing guidance and decision-making support to the Residence Director on Call (RDOC) for their response to emergencies.
- Maintain complete oversight of, and recommend projections for, the Residential Housing Operations budget (roughly $40,000+ annually) by reviewing, approving, and tracking all operations expenses.
- Develop strong connections with campus partners, including but not limited to Information Technology, Marketing & Communications, Budget/Finance, Student Accounts, Suffolk University Police Department (SUPD), and the RAM Card office to ensure RLHS continues to function at a high level.
- Serve as the primary, first point of contact within RLHS for student, parent, and family concerns about their residential housing experience through emails, in-person meetings, and phone calls.
- As needed, hold hearings for, and adjudicate, conduct cases as a Student Conduct Hearing Officer.
- Continually reflect and assess the needs of RLHS to recommend future additions to staff or modifications to current roles and processes which allow the department to continue operating efficiently.
- Serve on departmental, divisional, and University committees as assigned and/or interested.
- Assist with divisional and University-wide events, including, but not limited to: Open House, Suffolk Showcase, Family Weekend, Convocation, Commencement, Academic Recognition Day, Leadership Awards, etc.
- Attend weekly Leadership Team meetings.
- Other duties as assigned by the Director of RLHS, Student Affairs, etc.
- During peak times, work extended hours, including but not limited to evenings and weekends. Extended vacations are limited to non-peak times during the year.
